The resourcing Schedule view offers a comprehensive overview of your team’s tasks and allocations across projects. It allows you to easily spot over-allocations, adjust assignments, and balance workloads, helping you optimize your team’s efficiency and ensure tasks are completed on time.
Accessing the Schedule view
Navigate to the Project Management tab in the left-hand side bar > select Resourcing.
Here you can see a summary of your team's schedules and task allocation.
Reviewing allocations
Each team member's allocations across projects are displayed in a single row. The row’s length is proportional to the duration of the task allocation:
Each project is represented by a unique color, so you can differentiate between them easily.
Tip: To customize the project color, navigate to Projects > select the project > select the color box next to the project title:
Identifying over-allocations
By looking at the schedule, you can quickly identify any over-allocations.
As an example, if a team member is assigned to work 16 hours on a given day, that row will appear longer compared to other days, indicating that they are over-allocated:
This visual helps you manage workloads more efficiently.
Identify time off
The Schedule view also displays time off. You’ll see these as diagonal lines within the 'Time Off' allocations for each team member, making it easy to spot when a team member is unavailable for work due to time off:
You can add 'Time Off' allocations by following the instructions in this article here.
Reassigning allocations
To reassign a task allocation to another user, click on the allocation and choose a different team member:
When you're ready, select 'Update Allocation' and this will now reflect under the newly assigned team member.
To adjust the schedule, simply drag and drop allocations to different days to balance the workload:
This feature provides a clear overview, allowing you to quickly allocate tasks and adjust your team’s schedule as needed. It helps ensure your team stays within their capacity and gives you better visibility into their workload.
