Getting started as a Project Manager

Access and visibility

As a Project Manager at your agency, you're able to access Clients, Projects, Tasks, Time Tracking, Forms and more. Learn more about the full Project Manager role permissions and other company roles here.

To access your agency’s workspace, accept the invitation sent to your email. If you already have a Bonsai account or are linked to multiple companies, you can easily switch between company accounts by clicking your profile icon in the bottom left-hand corner:

Client management

In your role as a project manager, you possess the capability to oversee and administer client relationships within your organization. This includes adding new clients, assigning relevant tags for categorization, extending invitations to join your company portal, and archiving clients as needed.

You can access this by navigating to Client Management in the left-hand navigation bar > selecting 'Clients':

Here you can select "New Client" to add new clients to your company account.

Project management

On the Projects page, you'll find a range of functions at your disposal, including viewing, creating, editing, archiving, and deleting projects.

Our platform provides both a board-style Kanban view and a list view for your convenience. Project statuses are fully customizable, allowing for effortless manual updates or intuitive drag-and-drop functionality to transition projects between different stages.


Tasks

As a project manager, you have access to tasks assigned to the entire time, and they're accessible through the Tasks page. This feature facilitates streamlined monitoring of task progress associated with the project you're currently engaged in.

Effortless collaboration with your team is facilitated by consolidating all activity and communication within the task interface. This integrated approach ensures clarity and cohesion in project management.

Moreover, you have the capability to track time dedicated to specific tasks, update task statuses, and perform various other actions.


Resourcing

Our team planner within the resourcing feature empowers you with enhanced capabilities to assess your team's availability and workload capacity, providing real-time insights for effective team management and task distribution.

By hovering over a team member's schedule, you can instantly view their daily capacity and booked time. Clicking into an open time slot allows you to allocate time for a specific project and assign it to the relevant team member. Alternatively, you can utilize the "Add Allocation" button located at the top right corner to accomplish this task seamlessly.

Workload view

The Workload View under Resourcing helps you manage team utilization across projects using tasks, making it easier to balance your team's workload. This simplifies work planning and allocation based on task estimates.

To ensure that a task appears in the Workload View, the task must have both an assignee and a due date. This makes sure that the task is linked to a specific team member and has a defined deadline.

To create a new task, use the 'Add Task' button or simply click and drag on the timeline. You can also adjust an existing task's start or due date by dragging it along the timeline to modify its schedule.

If you need to add time off for a team member, select their name and hover over the chart to reveal the plus (+) icon. Clicking the icon will open a pop-up where you can input details such as the time-off category, start and end dates and hours per day:

This will reduce the team member's capacity for the specified period.


Reporting

As a project manager, you possess access to several vital reports offering deeper insights into overall project activity and health. This heightened visibility empowers you to gauge your team's progress more comprehensively, fostering a holistic understanding of project dynamics.


You can delve deeper into project details to review the number of outstanding tasks, identify any instances of task delays, and monitor the overall project status, providing a comprehensive overview of project health.
