A guide to automating task creation using predefined task templates within Project Automations.

Understanding task template automation

Task template automation allows users to automatically generate tasks using predefined task templates through Project Automations. This feature enables:

  • Recurring task creation

  • Standardized workflows

  • Reduced manual setup

  • Improved project management efficiency

You can schedule task generation on a recurring basis (for example, monthly on a specific day), ensuring consistent execution of routine work.


How task template automation works

Task automation is built around predefined templates that are triggered on a schedule. When an automation runs, it will:

  • Create tasks based on a selected template

  • Apply predefined structure and fields

  • Assign them according to the configured schedule

This ensures consistency across projects and removes the need for manual task creation.

Where to access project template automation

To access task template automation:

  1. Go to a Project Details page

  2. Click the “…” (more options) menu

  3. Select “Automations”

  4. Click either:

    • “Add New Automation”, or

    • “Create new automation”

This will open the automation configuration screen.

Setting up the automation schedule

You can define when tasks should be automatically generated using a schedule.

There are two scheduling options:

  • Relative Date

  • Specific Date

Relative date scheduling

If you choose Relative Date, you will configure the automation based on recurring patterns within the month. You will need to:

  • Select the cadence

  • Choose whether the automation runs on:

    • First day of the month

    • Last day of the month

    • Penultimate day of the month

  • Select a specific weekday (Monday–Sunday) if required

This option is useful for workflows that depend on predictable relative timing (e.g., “first Monday of every month”).


Specific date scheduling

If you choose Specific Date, you will:

  • Select a fixed day of the month (e.g., 5th, 15th, 28th)

This option is useful for strict calendar-based workflows that must occur on the same date each month.

Selecting a task template

After setting the schedule, you will need to:

  • Select the task template you want to automate

This template defines:

  • Task structure

  • Predefined fields

  • Default instructions or content

The automation will generate tasks based on this template each time it runs.

Selecting a task list (Optional)

You can optionally assign tasks to a specific:

  • Task list

If selected, all generated tasks will automatically be organized into the chosen list.

If not selected, tasks will be created without being assigned to a specific list (depending on project configuration).

Setting a task name prefix

You can define a Task Name Prefix to help standardize and identify automated tasks.

This prefix will be added to all generated tasks and is useful for:

Configuring due dates

You can define how due dates are assigned to generated tasks.

Options include:

  • None (no due date assigned)

  • Relative date

  • Specific date
