How timesheets work in Bonsai.

If your team tracks their time in Bonsai, timesheets are a great way to manage your team's weekly hours broken down by member and project.

You can access your 'Timesheets' in the Project Management section of the left sidebar.

How timesheets work

By default, the timesheet is set to 'My Timesheet' and would be set to 'this week'. This will show you all of the hours you have logged for this given week:

Clicking on the 'All Timesheets' tab will produce a list of the timesheets for each individual member of your team:

Clicking on a team member's name shows a breakdown of all the projects they tracked time on that week:

Clicking on the daily time totals for each project shows all the time entries the member logged on that project. You can also add a new time entry for this project by clicking on the "+" arrow:


Filtering by team member

You have the option view Timesheets filtered by team member. This can help organize your view at a glance for specific team members.

To do so, ensure you are on the 'All Timesheets' tab and simply select 'Filter':

Next, you can select the team member(s) you wish to review:

This will give you a full breakdown of the team member(s) timesheet for the time period you've selected.

Showing weekends

By default the timesheet only shows weekdays, but you can show weekends as well by clicking on the "···" button in the top-right corner and selecting "Show Weekends".


Viewing previous weeks

You can view timesheets for previous weeks with the date selector in the top-left corner. Click on the left arrow to view an older week, or the right arrow to view a more recent week.


Capacity utilization

If a team member has exceeded their daily or weekly capacity, their time turns red to indicate that they are over capacity.

You can also view each member's weekly utilization in the Capacity Utilization column on the right, which shows how much of their weekly capacity has been used and how much is remaining.


Locking a timesheet

Team members with the owner, partner, or project manager roles have the ability to lock and unlock weekly timesheets.

To lock a team member's timesheet, simply click on the green lock icon next to the member's name. This will prevent them from adding, editing, or deleting any time entries for that week.

Members with locked timesheets will have a grey lock icon next to their name for that week. They will be able to view their timesheet for that week, but cannot make any changes to it.

You can unlock their timesheet at any time by clicking the grey lock icon next to their name.


Collaborator view

Collaborators can access the timesheets page, but they can only view their own weekly timesheets.

If their weekly timesheet is locked, they will also see a grey lock icon next to their name, as shown in the image below.
