What is the Zoom integration?

Bonsai's Zoom integration automatically syncs your Zoom meetings to your Bonsai CRM, including recordings, transcripts, and AI-powered summaries. Every client meeting is matched to existing contacts in Bonsai, giving your team a complete view of client interactions in one place.

Who can use this?

The Zoom integration is available to Bonsai users on Premium plans and above.

How to connect Zoom

You can connect Zoom from any of these locations in Bonsai:

Steps:

  1. Click Connect Zoom from any of the entry points above.

  2. You'll be redirected to Zoom to authorize the connection. Sign in to your Zoom account and grant access.

  3. Once connected, configure your privacy settings:

    • Meetings to sync — All meetings, or only meetings with external participants.

    • Meeting visibility — Visible to everyone on your account, or only to you.

    • Private meetings — Choose whether private Zoom meetings are synced and who can see them.

  4. Optionally, import past meetings by selecting a date range (up to the last 12 months).

  5. Your integration is now active. New meetings will sync automatically going forward.

How to use the Zoom integration

Once connected, your Zoom meetings appear in two places:

  • Contacts > Contact details > Meetings tab— All meetings associated with a specific contact.

  • Meetings — A central list of all synced meetings across your account.

Meeting information

Each synced meeting shows:

  • Meeting title, date, time, and duration

  • Meeting owner

  • Meeting invitees

  • Assets (recording/summary depending on what's available)

Meeting details

Click on any meeting to open a details panel with:

  • Summary: AI-generated meeting summary, chapter breakdowns, and action items (requires Zoom AI Companion to be enabled on your Zoom account).

  • Transcript: Full transcript with speaker labels and timestamps.

  • Recording: Embedded video player.

Visibility controls

If you are the meeting organizer, you can change who sees each meeting — only you or everyone on your account — directly from the meeting details panel:

Importing past meetings

You can import additional past meetings at any time from Settings > My Account > Meetings Sync by clicking Import Past Meetings and selecting a date range.

How to disconnect Zoom

1. Go to Settings > My Account > Meetings Sync.

2. Click the ... menu on the Zoom integration card.

3. Select Disconnect.

After disconnecting:

  • Your Zoom OAuth token is revoked.

  • Previously synced meeting data is retained in Bonsai — it will still be visible.

  • No new meetings will be synced until you reconnect.

You can reconnect at any time by following the connection steps above.

Data and security

What data does Bonsai store?

Bonsai stores meeting metadata: meeting title, date/time, duration, participant emails, and links to recordings, transcripts, and summaries. Bonsai does not store recording files or full transcript text — this content is accessed directly from Zoom when you view it.

Privacy controls

  • You choose which meetings to sync (all meetings or only external meetings).

  • You control meeting visibility (visible to your team or only to you).

  • You can exclude private Zoom meetings from syncing entirely.

Security

  • The connection uses Zoom's standard OAuth 2.0 authentication.

  • All data is transmitted over TLS 1.2+.

  • OAuth tokens are stored in an encrypted database and refreshed automatically when they expire.

Account deletion

If you delete your Bonsai account, all synced meeting data and your Zoom integration credentials are permanently removed.

Frequently asked questions

Do I need Zoom AI Companion for the integration to work?

The integration works without Zoom AI Companion for basic meeting sync (title, date, attendees, recordings, transcripts). However, meeting summaries and transcripts require Zoom AI Companion to be enabled on your Zoom account.

Why don't I see a recording for my meeting?

Recordings are only available for meetings where cloud recording was enabled during the meeting.

Why don't I see a transcript or summary for my meeting?

Make sure the Zoom AI Companion was enabled during the meeting. Keep it mind transcripts and summaries are not available for very short meetings (< 1 minute).

How are meetings matched to my contacts?

Bonsai matches meetings to your existing contacts by comparing participant email addresses. If a participant's email matches a contact in your records, the meeting appears on that contact's page.

Will meetings appear for contacts who were invited but didn't attend?

Yes. If a contact was invited to a meeting, it will appear on their contact page even if they did not attend.

Can I sync meetings from the past?

Yes. When connecting or from your Meetings Sync settings, you can import past meetings by selecting a date range up to 12 months back.

What happens to my meetings if I disconnect and reconnect?

Previously synced meetings are retained when you disconnect. When you reconnect, new meetings will begin syncing again and you can import any past meetings you may have missed.
