Rate Cards

Streamline your project billing with preset hourly rate cards.

Rate cards in Bonsai are presets of hourly rates organized by role that help streamline your project billing. Available in the Financial Management section, this feature allows you to create standardized rate structures that can be applied across multiple projects.

Setting Up Rate Cards

Accessing Rate Cards

  1. Navigate to the Financial Management section in the left sidebar

  2. Select "Rate Cards" from the menu

  3. Click the "New Rate Card" button in the upper right corner:

Creating a Rate Card

  1. Give your rate card a name (e.g., "2025 Standard Rate Card")

  2. Select the currency (USD, GBP, etc.)

  3. Add roles and their corresponding hourly rates:

    • Click "+ Add Rate"

    • Select a role (Junior Consultant, Project Manager, etc.)

    • Enter the hourly rate for that role

  4. Click "Create":

Managing Rate Cards

Edit existing rate cards by clicking on them. You can:

  • Edit the name of the rate card

  • Edit roles and hourly rates

  • Delete rate cards via the 3 dots (...) to the right of the rate card:

Applying Rate Cards to Projects

  1. Open a project and access "Project Settings"

  2. Go to the "Billing" tab

  3. Under "Billable Rate," select "Member hourly rate" from the dropdown

  4. Choose your desired rate card from the "Rate Card" dropdown:

When applying a rate card to a project with existing time entries, you'll have the option to:

  • Apply rates to new time entries starting today

  • Apply rates to past and future time entries

Once applied, any team member working on the project with a defined role will have their time entries automatically billed at the rate specified in the rate card.

Managing Permissions

Rate cards have their own permission settings, allowing you to control who can view, create, update, or delete them:

  1. Navigate to Settings > Team > select the "Permissions" tab

  2. In the Finance section, you'll find Rate Cards permissions

  3. Set appropriate access levels for different roles in your organization

By default, Owner and Partner roles have full permissions for rate cards, but you can customize access for other roles based on your organizational needs.
