In this article, we'll explore how to edit your project's details.
To edit project details, navigate to Project Management > Projects > select the project you'd like to update > select the 'Settings' tab. The following details can be edited on this page:
Project title
Start or end date for the project
Currency
Billable rate
Project reference number
Description
Reminders
Project title
Simply type in your desired edits under the Title field and it will automatically be saved.
Start or end date for the project
While the start date of a project typically defaults to the date it was created, it can be changed by clicking on the date which will open up a calendar. Select your preferred date on the calendar and the new start date will automatically be saved.
An end date is optional but can be set in the same way by clicking on the 'select date' field.
Currency
Bonsai supports several currencies, which can be found in our article covering Which currencies does Bonsai support? The currency will default to what has been set up under your Company Settings. This section will display the current currency of the project.
Billable rate
When a project is created, the billable rate is automatically set to the member's default billable rate. This can be changed to accommodate a project billable rate or to be set as non-billable.
Project reference number
In this field, you have the option to input a project reference number that is up to 25 characters in length and will be included in client communications. This can be used for reference numbers such as purchase order numbers, project codes or work order numbers.
Description
In this field, you can input notes that are visible to everyone on the project. If you are looking to add an internal note to your project, please see our article on Taking notes in Bonsai.
Reminders
Choose whether you would like auto-reminders sent to your client for the project by clicking on the checkbox. Bonsai automatically sends reminders for any outstanding invoices, expiring proposals and sent contracts.
Project viewing options
There are three different views you can display for your projects: 'Board View,' 'List View,' and 'Gantt View.' Each of these offers a distinct way to organize your projects.
Board View organizes your projects based on the project group/status:
List View allows you to see all of your projects in a list format. The categories in this view can be customized to display different options, which will be discussed later in this article:
Gantt View provides a visual representation of the projects currently being worked on, based on their start and end dates:
Projects in the Gantt View are color-coded according to their status. For example, the 'Website Design' project is highlighted in purple to indicate that it is 'In Progress':
This color-coding allows you to quickly assess your project status at a glance.
Additionally, projects in the Gantt View feature a progress bar. This bar represents the budget usage for each project:
For example, the 'Logo Design' project has used 34% of its budget, which is then reflected by taking up 34% of the progress bar.
Custom project fields
When you navigate to Project Management > Projects and toggle to the 'List View', you have the option to create custom project fields:
Custom project fields allow you to create your own custom field columns for your project 'List View'. This gives you a great opportunity to customize what project information you see at a glance.
To add a custom project field, select the 3 dots in the top righthand column of the project list > select 'Custom Fields':
Next, you'll see this pop-up window that will show you any existing custom fields and a '+ Add Custom Field' button:
When you select the '+ Add Custom Field' button, it will allow you to create a custom 'text', 'number', 'date', or 'URL' field:
Once you have chosen your preference for the custom field, you'll be required to add a title for that field (ex. 'Notes').
Once you have added this and saved it, it will appear within the list of fields to choose from:
When you enable that field, it will appear as a column under your 'List View' of your projects:
