Sending documents via link

Send documents for signature using a shareable link instead of sending an email directly from Bonsai. With this option, you generate a unique link for each recipient and share it with them yourself.

This is useful when you want to deliver a document through your preferred communication channel rather than having Bonsai email it to your recipients.

Overview

When you send a document via link, Bonsai generates a separate link for each recipient. The document status changes to Sent, just as it would when you send a document by email, but no email is sent automatically.

The process involves five steps:

  1. Open the document and click Send.

  2. Select the Send via link tab.

  3. Click Generate link.

  4. Copy the unique link generated for each recipient.

  5. Share each link directly with its intended recipient.

Sending a document via link

To generate recipient links:

  1. Open the document you want to send.

  2. Click Send in the top-right corner.

  3. Switch from the Send email tab to Send via link.

  4. Click Generate link.

  5. On the confirmation page, locate each recipient’s link.

  6. Click Copy this link next to the appropriate recipient and share it with them.

Once the links are generated, the document status changes to Sent. No email is sent automatically, so make sure each recipient receives their link.

Retrieving recipient links

If you need to access the links again after sending the document:

  1. Open the sent document.

  2. Click Send reminder.

  3. Locate the recipient links and copy the one you need.

You can then share the appropriate link with its intended recipient.

Understanding recipient links

Each recipient has a unique link

Bonsai generates one link per recipient rather than a single shared link for the entire document. This preserves the association between each recipient and their signature.

Anyone with a link can sign as its assigned recipient

Anyone who has access to a recipient’s link can open the document and sign as that recipient. Links should therefore be shared only with their intended recipients.

Links remain valid until the document is signed or reverted to draft

Recipient links do not currently have an automatic expiration date. They remain valid until the document is signed or reverted to draft.

Revoking a link

Important: Reverting the document to draft invalidates its existing links. Make sure you're ready to revoke access before proceeding.

To revoke access to a document's links, you must revert the document to draft. To do this:

  1. Go to Documents and open the document you want to update.

  2. Click the three-dot menu (...).

  3. Select Edit.

  4. Select Edit document

Once the document is reverted to draft, its existing recipient links will no longer provide access to the document. Anyone who opens a revoked link will see a page indicating that the document is unavailable, along with the sender's name and email address.

If you need signatures afterward, you can review the document and generate new links when you're ready to send it again.

Sending via link vs. email

Both methods send a document into the Sent status, but the delivery process differs.

  • Send email: Bonsai emails the document invitation to the recipients.

  • Send via link: Bonsai generates recipient-specific links, and you share them yourself. No email is sent automatically by Bonsai.

Choose the method that best fits how you communicate with your clients, and always ensure that each recipient receives their own link.
