How to schedule an invoice to auto-send

Scheduling your invoice to auto-send can save you time and manual effort while ensuring that your clients receive their invoices on a date that suits you!

Scheduling an invoice to auto-send

Scheduling your invoice to send in the future can be used with one-time or recurring invoices. To do so:

  • Navigate to Financial Management > Invoices

  • Select the invoice you'd like to send on a the future

  • Set the 'Issue Date' to a the date you'd like to auto-send this invoice

Once you have done so, you can select the calendar icon in the top righthand corner:

Please note: the invoice 'Issue Date' must be in the future in order to select this icon.

Once you have selected this icon, a confirmation modal will appear. If you would like to continue to schedule your invoice to send at a later date, select 'Schedule Invoice':

After selecting this, another modal will appear, allowing you to set up a custom email to be sent to your client. You can also confirm that the email will be scheduled for future delivery on the same issuing date.

Once you have completed this process, to confirm that your invoice is now scheduled, you can review the 'Overview' section in the righthand side panel to see the invoice's status as 'Scheduled':

In the event you need to manually cancel the auto-send, please feel welcome to select the green text next to 'Repeat Until':

Here you will see the 'Schedule Invoice' modal, you can select 'Disable Auto-Sending' to stop the invoice from sending in the future:

Reminders

The day before an invoice is scheduled to be sent, Bonsai will send you an email reminder.

This will simply let you know that the invoice will be sent the following day, providing you with an opportunity to make any final edits if needed. You can review and edit the invoice, or take no action, in which case it will proceed to be automatically sent as scheduled (unless cancelled).
