Understanding payment categories: outstanding, overdue, pending and paid

Learn what each payment status means in your Bonsai account and how to interpret your Profit & Loss chart.

Overview of Payment Statuses

In your Bonsai dashboard,, the Profit & Loss chart displays your income based on payment status within a selected time range. Each invoice is categorized into one of the following statuses:

  • Outstanding

  • Overdue

  • Pending

  • Paid

  • Other Income

Understanding these categories helps you track cash flow, follow up with clients, and manage your finances effectively.

Outstanding Payments (Not Yet Due)


Outstanding payments are invoices that have been sent to a client but have not yet been paid and are still within the due date.

Key Characteristics:

  • Invoice has been delivered to the client

  • Payment has not been received

  • Due date has not passed


No immediate action is required, but you may choose to send reminders as the due date approaches.

Overdue Payments (Past Due Date)


Overdue payments are invoices that have been sent but remain unpaid after the due date has passed.

Key Characteristics:

  • Invoice is unpaid

  • Due date has passed

  • Requires follow-up

What to do:

  • Send a payment reminder to the client

  • Consider applying late fees (if enabled in your settings)

  • Review client communication history

Pending Payments (Processing)


Pending payments are invoices that have been paid by the client, but the funds are still processing and have not yet reached your account.


Key Characteristics:

  • Payment has been initiated

  • Funds are not yet deposited

  • Common with ACH bank transfers

Timing:

  • ACH payments typically take 7–10 business days to process

How to identify:

  • Marked as “Pending” in your invoice list

  • Often indicated with a visual marker (e.g., blue dot)

Paid Payments (Completed)

:
Paid payments are invoices where the funds have been successfully received and deposited into your account.


Key Characteristics:

  • Payment completed

  • Funds available

  • Reflected in your final income totals


No action required. These payments are fully settled.

Other Income (Manually Added)


Other Income includes earnings that were not processed through Bonsai Payments and were manually added for tracking purposes.

How Payment Status Affects Your Profit & Loss Chart

Each payment status contributes differently to your financial overview:

  • Outstanding & Overdue → Expected income (not yet received)

  • Pending → Incoming income (in transit)

  • Paid → Confirmed income

  • Other Income → Additional tracked revenue
